Free tools / Missed-call calculator
Your phone rang. Nobody answered. This is what that costs in a year.
What unanswered calls cost a US med spa or dental practice, in five numbers and thirty seconds. No email, no account — the arithmetic runs in your browser and stays there.
Your numbers
Change anything. Nothing here is fixed.
Your number Every inbound call, not only the ones somebody picked up. Your phone system reports it. No published benchmark applies here — 60 is a starting point, not a claim about your clinic.
Industry benchmark Rang out, went to voicemail, or came in after you locked the door. 37.8% of calls to US local businesses reach a live person. Independent audit of 85 US local businesses across 58 industries. That implies a miss rate above 60%; this calculator opens at 62% because we would rather understate it.
Your number Of the calls your team does pick up, how many end up on the calendar. No published benchmark applies here — your booking system has the real figure.
Your number What a new patient spends on the first visit, before any repeat business. No published benchmark applies here — take it from last quarter.
Industry benchmark A patient who comes back is worth more than the first ticket. This figure never touches the headline number. Industry range commonly reported at $2,000–5,000. We use the low end in every calculation. At the $600 first visit this opens with, 2.4× is $1,440 — deliberately under the bottom of that published range.

Walking out the door
$29,016
a month, counting the first appointment only
Per month
- Calls nobody answered
- 161
- Appointments never booked
- 48
- Same loss, counting repeat visits
- $69,638
The headline figure ignores repeat visits on purpose. We would rather quote the smaller number and be right.
By the end of the year
$348,192
That is 580 appointments a year that dialled your clinic and never got booked, valued at the first visit alone. Count the repeat business at your own multiple and it is $835,661.
The honest version
Does answering the phone actually pay for itself?
The AI front desk is $1,500 to set up, then $1,200 a month. At your numbers it covers its monthly cost the moment it catches more than 5% of these calls. Across a first year, setup included, it needs 5%.
Run against the first-appointment figure, not the lifetime one. No system catches every call — this is the bar it has to clear, not a promise about what it will recover.
5%
of your missed calls is where it starts paying for itself
- Setup, once
- $1,500
- Then monthly
- $1,200
- First twelve months
- $15,900
How the number is built
Five multiplications, nothing hidden
There is no model in here and no adjustment we did not show you. If a step looks wrong for your clinic, the slider that fixes it is right above.
What the arithmetic cannot know is how many of those callers try you again. Published call-tracking work puts 62% of people who fail to get through on to a competitor instead, which is why a missed call is counted as lost here.
- 60 calls a week × 62% missed = 37.2 calls a week that never reached a person.
- Of those, 30% would have booked = 11.2 appointments a week.
- × 52 weeks = 580 appointments a year.
- × $600 a first visit = $348,192 a year.
- Repeat visits at 2.4× would make it $835,661. The headline number leaves this out.

Questions owners ask about this tool
Straight answers
Will this mean anything for a clinic my size?
It scales to whatever you type, so a single treatment room and a four-location group both get a straight answer. The defaults describe one location taking ordinary call volume, because that is who this was built for. Change the top slider to your own weekly call count and everything below it follows.
Does every missed call really equal lost money?
No, and the calculator does not assume it. Your booking rate is applied, so only the share of calls that would have ended on the calendar counts. The one thing it cannot know is how many of those callers try you again. Published call-tracking work puts 62% of people who cannot get through on to a competitor instead, which is why a missed call is treated as lost here. If your patients are more patient than that, scale the result down.
How do I find my real missed-call number?
Your phone system or VoIP dashboard lists calls that rang out, hit voicemail, or came in outside hours — that total divided by all inbound calls is your miss rate. If you cannot get at it, the free audit does it for you: we call your line the way a patient would, at the hours patients actually call, and send you what happened.
What does it cost to fix, not just measure?
The AI front desk that answers these calls is $1,500 to set up, then $1,200 a month, live in about two weeks. No long lock-in — 30 days notice, any time. Outside that price: telephony minutes above the included 1,500/month, and your booking software subscription. What moves it: number of locations, how many booking systems we have to talk to, and whether you want outbound follow-up on top of answering.
What happens to patient data?
None goes near this page. You enter averages about your own business, the arithmetic runs in your browser, and nothing you type is sent to us or stored anywhere. The systems we build afterwards are a separate matter: HIPAA-aware, vendors under a business associate agreement, a defined retention window, and documented so your compliance officer can review it. We are not lawyers, and we say so where a state adds rules of its own.
You are in Europe. Why would a US clinic hire you?
Oris is the clinic practice of HeadPills, building sites and automation from Wroclaw, Poland since 2021. We have no US clients yet and will not pretend otherwise — which is exactly why the audit is free and yours to keep. Judge the work before any money or trust is involved. The system that answers the phone keeps no office hours; the people behind it work yours for reporting.

Free clinic audit
This estimates. The audit measures.
We call your line the way a patient would — at the hours patients actually call — then send you what happened to those calls, what AI search says about your clinic, and how your Google profile compares to three local competitors.

- No call required to receive them
- Yours to keep either way

We have your details.
The audit takes us about two business days. It arrives as a short written document — where calls are being lost, what the map pack looks like for your treatments, and what AI assistants say when someone asks for a clinic like yours. No call required to receive it.
