Oris is a young service line, not a young agency. HeadPills has been shipping since 2021. The US clinic practice is new, and no US clinic has run a full engagement with us yet. You would rather read that here than work it out on a call.

How an engagement runs

From the first call to the first report

  1. Day 0

    The audit

    We call your line the way a patient would, ask the AI assistants what they know about you, compare your Google profile against three local competitors and open your site on a phone. You get a written document: what we found, what each gap costs in booked appointments, which fix pays back first.

  2. Week 1

    We write down your clinic

    Treatments, price ranges, prep and aftercare, cancellation policy, hours, the questions you are tired of answering and the objections that lose bookings. It comes back to you as a document you correct line by line. Nothing goes live on a guess.

    One kickoff call. Then we work and you keep treating patients.

  3. Week 2

    You try to break it

    You call the system yourself before a single patient does. We fix whatever sounds off, connect the booking calendar, forward the calls you want covered, and switch on the follow-up sequences.

    Live in about two weeks from kickoff.

  4. Every month

    The report, in money

    In the first week of each month: calls caught that would have been missed, appointments booked, patients who showed up. Rankings and traffic are listed underneath as inputs, not as the product. Then a short note on what we are changing next and why.

Who you talk to

The person who audits your clinic writes your monthly report.

Nothing is handed off once the contract is signed. There is no account manager relaying your question to someone else and the answer back to you a day later, and there is nobody junior learning the category on your practice. If something is wrong on a Tuesday, you write to the person who built it.

One kickoff call, then a standing fifteen minutes a month if you want it. Most owners do not. The report says what happened and what changes next, and that is usually the whole conversation.


The distance question

Six hours ahead, on purpose

Wroclaw, Poland is six hours ahead of New York and nine ahead of Los Angeles. We hold the back half of our day for US calls and replies, so the overlap covers your morning rather than nobody's.

Send something at four in the afternoon in Los Angeles and the reply is written while you sleep. And the front desk never depended on our hours in the first place: it answers at 3am on a Sunday exactly as it answers at noon on a Tuesday.

Honest limits

What we will not do

The shortest way to tell an agency apart from a pitch is to ask what it refuses. Ours is written down.

  • We do not run paid ads, and we do not take a percentage of ad spend. Every service page says what it excludes.
  • We do not buy links. Content earns its position or it does not get published.
  • We do not write medical claims, treatment advice or anything that promises a patient outcome.
  • We do not let a system answer a clinical question. Those calls reach a human on your team, tagged and summarised.
  • We do not publish before-and-after imagery, reviews or a patient story without documented consent behind it.
  • We do not sell you the next service until the last one has paid for itself.

Patient data

HIPAA-aware, and specific about what that means

  • Call data runs through vendors covered by a business associate agreement.
  • Recordings and transcripts have a defined retention window, agreed with you before go-live.
  • Anything clinical routes to a human on your team, tagged and summarised.
  • The setup is documented, so your compliance officer can read it rather than trust it.

We build to documented practice. We are not lawyers, and where your state adds its own rules on advertising, consent or before-and-after imagery, we tell you that you need one.

Because going first is priced and structured to be cheap for you and expensive for us. The audit is free and written whether or not you hire us. No long lock-in — 30 days notice, any time. And you are talking to the people doing the work rather than an account manager, because at this size there is nobody to hide behind.

Will this work for a clinic my size?

It is built for owner-operated med spas and dental practices with one to three locations — the ones where the owner still sees the missed-call list. A single location with four treatments sits at the floor of our pricing. If you are a twenty-location group with an in-house marketing team, we are not the right fit and we will say so in the audit rather than after the invoice.

What does it cost to work with you?

The AI front desk is $1,500 to set up, then $1,200 a month. Local SEO is $1,200 a month. Content is $1,000 a month. Websites are from $3,500, project-based. The audit is free. No long lock-in — 30 days notice, any time.

You are in Poland. What about the time difference?

Wroclaw is six hours ahead of New York and nine ahead of Los Angeles. We hold 2pm to 9pm our time for US calls and replies, which is 8am to 3pm in New York and 5am to noon in Los Angeles. Anything sent to us during a US afternoon is answered before your next morning. The front desk itself never depends on our hours — it answers at 3am on a Sunday the same way it answers at noon on a Tuesday.

What happens to patient data?

The systems we build book appointments rather than discuss medical details. Call data runs through vendors covered by a business associate agreement, recordings and transcripts have a defined retention window, and anything clinical routes to a human on your team. We document the setup so your compliance officer can review it. We are HIPAA-aware and we build to documented practice — we are not lawyers, and where a state adds its own rules we tell you to get one.
